To: Board of Directors and Members PURSUANT to the call of a majority of the Board of Directors named in the Certificate of Formation of the Corporation, NOTICE IS HEREBY GIVEN that the Board of Directors and the Members of The Woodlands Convention and Visitors Bureau, a Texas non-profit corporation (the “Corporation”), will meet at the principal office of the Corporation, at 2801 Technology Forest Boulevard, The Woodlands, Texas 77381, on March 20, 2024, at 8:30 a.m., for the purpose of:


1.					Pledge of Allegiance;

2.					Call to order and adoption of Agenda;

3.					Public Comment;

4.					Receive, consider and act upon a Proclamation of support for Global Meetings Industry Day 2024;

5.					Consider and approve Minutes from January 18, 2024 Regular Board Meeting;

6.					Consider and approve Financial Report through December 2023;

7.					Receive, consider and act upon an update regarding #SoWoodlands Magazine;

8.					Staff Initiative Reports;

9.					Recess to Executive Session to discuss matters relating to real property pursuant to §551.072, Texas Government Code; deliberation of economic development negotiations pursuant to §551.087, Texas Government Code; discuss personnel matters pursuant to §551.074, Texas Government Code; and to consult with the Corporation's attorney pursuant to §551.071, Texas Government Code;

Receive, consider and act upon a Proclamation of support for Global Meetings Industry Day 2024;
BACKGROUND:
On April 11, 2024, Visit The Woodlands will join the annual worldwide recognition of Global Meetings Industry Day (GMID) and champion the benefits and impact of professional meetings and events held in The Woodlands. GMID, fueled by the U.S. Travel Association’s Meetings Mean Business Coalition, spotlights the proven value that business meetings, conferences, conventions, tradeshows and exhibitions bring to businesses, workers, and the economy. The Meetings Matter theme highlights the economic contributions and significance of face-to-face meetings, emphasizing the many benefits that professional in-person gatherings create. In 2023, meetings generated more than $119 billion in meeting and event related travel spending in the United States and directly supported over 600,000 American jobs. In The Woodlands, meetings are essential to stimulating the region’s economy and bringing in new visitors who stay in The Woodlands 14 hotels, dine in local restaurants, and shop in local stores that in turn bring new revenue to The Woodlands. In The Woodlands in 2023, well over 2,203 professional meetings and events took place that represented over 114,000 hotel rooms utilized and over $34 million in total group revenue for local hotels. The above revenue and employment opportunities are critical to the success of The Woodlands economy. Meetings Matter!
RECOMMENDATION
Present the proclamation in support of Global Meetings Industry Day.

Receive, consider and act upon an update regarding #SoWoodlands Magazine;
BACKGROUND:
The Woodlands Convention & Visitors Bureau (TWCVB, dba Visit The Woodlands) is the official destination marketing & management organization responsible for promoting The Woodlands to drive demand for both hotel and retail tax collections. Our mission is the establish The Woodlands, Texas as a beautiful, lively and welcoming destination recognized regionally, nationally and internationally for first-class business, convention and leisure travel. Visit The Woodlands is a 501 (c) (6) organization funded by The Woodlands Township Hotel Occupancy Tax and managed by a Board of Directors who oversees the mission, vision and budget of Visit The Woodlands. In 2022, Visit The Woodlands and its Board of Directors determined there was a need for a local publication that promoted businesses in The Woodlands. The first issue of #SoWoodlands Magazine was produced, with five more issues following. This publication is directly mailed to retail businesses in The Woodlands. #SoWoodlands is a small, print magazine that focuses solely on retail businesses in The Woodlands and the people behind them. Dedicated sections within the magazine include: How It Began, New In Town, Why The Woodlands, Q&A, This Is The Life and The Impact. In addition to sharing information about The Woodlands business community, the magazine allows Visit The Woodlands to include content that shows how the organization creates economic impact for The Woodlands. In February 2024, Visit The Woodlands Chairman suggested to The Woodlands Township Board of Directors that Visit The Woodlands could enhance The Woodlands Community Magazine by including #SoWoodlands as a supplement within the magazine. This was approved by The Woodlands Township Board of Directors at the February 28, 2024 meeting. To support this request and continue producing #SoWoodlands Magazine, Visit The Woodlands has solicited bids from vendors for design services. Visit The Woodlands staff will be presenting this information to the Board at the March 20, 2024 meeting.
